Edsby Launches Digital Workflow System for K-12 Paperwork

Most school districts currently struggle with the inefficiencies of physical paperwork, including lost forms, incomplete records, and compliance risks. Unlike generic corporate e-signature tools, Edsby Forms & Workflows integrates directly with existing student databases and class rosters. This connection allows the system to automatically identify the correct recipients and approval chains, eliminating the need for duplicate data entry.

The platform handles the entire lifecycle of school activities, such as field trips, by routing proposals through principals and district administrators before collecting parent signatures. Each step produces a time-stamped, auditable record. For added safety, the system incorporates QR-code check-ins to track student attendance during off-site events.

The Kawartha Pine Ridge District School Board in Ontario, which serves 34,000 students, is among the first to adopt the technology. Owen McIntosh, the board’s IT manager, noted that the platform stood out because of its ability to adapt to specific school requirements rather than forcing a rigid, pre-set process on educators. The board plans to expand the tool's use beyond field trips to streamline other administrative tasks across the district.
